CANCELLATION OR DOWNGRADE SERVICE: At BASE COAT we have a strict 12 hour cancellation and downgrade service policy in order to accommodate high demand of appointments. This policy applies across the board whether booked in person, on the phone, via email or online through our website or app. For any reason if there is a missed appointment, more than 10 minutes late, downgrade in service, you will still be responsible for the full-service fee of your originally scheduled appointment. Same-Day bookings with less than 12 hours notice will not be downgraded and the full value at time of booking is payable. No refunds will be given to cancelled or rescheduled bookings.
SAME DAY CANCELLATION AND RESCHEDULING: For same-day rescheduling we charge 50% of the original service booked regardless if you are rescheduling with the same nail artist or not - in addition you will still be responsible for the full-service fee of your same day rescheduled appointment. Same-day cancellations, no-shows and groups will be charged the full-service fee of your originally scheduled appointment.
ONLINE BOOKING: We recommend that you book your appointments in advance so that we may accommodate your scheduling requests. Walk-ins are always welcome but not guaranteed. Please arrive 10 minutes prior to your scheduled service especially if you are a new client. Note your nail artist originally booked online or over the phone is not always guaranteed and can change without any notice. If you would like to request a specific nail artist you must give us a call and we will try our best to accommodate your request but please know it is not always guaranteed.
CREDIT CARD DEPOSIT: We require a credit card to secure all appointments over the phone and through our online booking system. No exceptions. Base Coat Gift Cards can not be used to secure appointments. Please understand that when you forget or cancel your appointment without giving enough notice, we miss the opportunity to fill that appointment time and clients on our waiting list miss the opportunity to receive services they need. We ask that all new and current guests supply a credit card to have on file. All cards on file are added to the system via a secure electronic process that ensures the information is encrypted and remains secure. In the event that we do not receive the required notice for adjustments and cancellations the following fees will be applied to your card or alternatively billed out to you. Notification given at least 12 hours prior will receive no charges. Notification with less that 12 hours we will charge you 100% of your service. No show we will charge you 100% of your appointment.
ARRIVAL: In order to have the best experience, we invite clients to arrive 10 minutes early to ensure there is plenty of time to check in, use the bathroom and choose from our vast range of non-toxic nail polish colors. As a courtesy to all our clients a prompt appointment schedule is adhered to, late appointments may not be honored and you will still be responsible for the full-service fee of your originally scheduled appointment.
NO SHOWS: We kindly ask that you cancel your appointment 12 hours in advance so that we are able to fill your spot with someone on the waitlist. Same-day cancellations, no-shows and groups will be charged the full-service fee of your originally scheduled appointment. We do not rebook no-shows.
ECO-CONSCIOUS: We kindly ask to please bring your own flip flops to wear out of the salon. In our efforts to reduce our carbon footprint as a small business, we no longer carry disposable slippers at any of our locations.
GROUP BOOKINGS: For groups of 4 or more, we require a 50% deposit at the time of booking, and a 20% gratuity will be added to the service total upon completion of all services, guests may choose to add an additional amount at time of check out. If there are cancellations and downgrade service less than 12 hours in advance, or a no-show, you will still be responsible for the full-service fee of your originally scheduled appointments. We will require 12 hours notice in order to change or cancel the booking and deposits are calculated according to each service.
PAYMENT: We accept Visa, MasterCard, American Express and Cash. No checks please.
GIFT CARDS: Base Coat Gift Cards can be used at all Base Coat Nail Salon locations for only services and products. Gift cards are not redeemable for cash and valid for a period of 12 months. Base Coat Gift Cards can not be used to secure appointments and may not be exchanged for cash or other vouchers. Change will not be given, but the balance will remain on the voucher until its expiration date. *Base Coat Gift Cards are not valid at all Nordstrom locations and Base Coat does not accept Nordstrom Gift Cards.
NAIL CARE AFTER SERVICES: In the event your nails chip within three days after your service (four days for gel polish), please email us with a photo to firstname.lastname@example.org and we will offer you a complimentary touch-up on the affected nails only. Outside this period there will be a charge of our normal fee, please refer to our price list.
BOOKED A PEDICURE? Pedicure clients are advised to not shave their legs for at least 24 hours prior to service. Wear pants that do not taper from the knee to the ankle.
SICK POLICY: In an effort to maintain a healthy environment, we ask that if you are sick (which includes a cold, a fever, the flu, etc.) or have the onset of symptoms of an illness that you reschedule your appointment. If you arrive for your appointment with visible symptoms of an illness, you will be asked to reschedule your appointment and charged 50% of your original service to reschedule. This is for your well being as well as the health of our employees and other clients. Receiving a service when you are sick is not advised. While in the early and acute stages of a cold, the flu or other illness, a manicure or pedicure service can accelerate the onset of the infection and intensify its severity (via additional circulation of blood & lymph). Please wait until you have been well for at least a week before getting your service. If you do need to cancel your appointment, please call us 12 Hours before your scheduled appointment so you are not charged the full amount and we will be happy to reschedule your appointment for a time when you are feeling better.
MEDICAL CONDITIONS: When making any appointments or before your service, please let us know if you are pregnant, have any health conditions, ingrown toenails, special needs (e.g. allergies or injuries). This will help customize your service to ensure the highest satisfaction and benefits.
VALUABLES: We suggest that you leave your valuables (i.e. jewelry) at home. Base Coat cannot be responsible for damaged personal valuables during services and will not be liable for lost or stolen personal items or valuables. Also please check to make sure that no belongings are left behind.
The more we use our clean products, the more we love them and the more committed we are to the philosophy. We believe that wellness should not be compromised for beauty. Our custom formulated creams, scrubs and oils used in all of the services at Base Coat Nail Salon™ are vegan friendly, scented with only essential oils, plant based preservatives and never contain petrochemicals, parabens, sulfates or any other harmful chemicals. To preserve a non-toxic environment, we do offer a Oxygenating Medical Grade Gel, 10-Free of the most toxic ingredients using LED light to cure, not skin-aging UV lights, vegan/cruelty-free and lasts up to 14 days. We do not offer acrylics or enhancements. Our nail polish remover is gentle to ensure your skin doesn’t dry out. We thoughtfully curated 105 current and classic colors with options to complement every skin tone just for you without ever exposing you, our technicians, or the environment to harmful chemicals. Our Base Coat nail polish is long-wearing and 8-Free of the most toxic ingredients known to cause health problems including cancer, asthma and even neonatal death. Does not contain Dibutyl Phthalate, Toluene, Formaldehyde, Formaldehyde Resin, Camphor, Ethyl Tosylamide, Xylene, and Parabens. However, we never want to mislead our clients into believing our polishes have no chemicals. The reality is, in order for nail polish to stick to your nails and adequately dry, it will have ingredients that allow it to do so. Until we discover a miracle product that is 100% chemical-free we'll continue to provide the cleanest polish possible without compromising beauty and function. All our products are responsibly Made in the USA, Leaping Bunny Certified, vegan, gluten and cruelty-free.
Please Note: We do not offer acrylic nails or remove “dip powder” as it damages our equipment. Please remember to add gentle gel removal to your service if you have soft gel polish on. Your service will be shortened to accommodate the gel removal and you will be charged in full for the original appointment scheduled and the gel removal.
We uphold the highest standards of hygiene at Base Coat Nail Salon™. Metal and glass tools, after each use, are thoroughly scrubbed with hot water and antibacterial soap to make sure there are no particles left on the tools, then we immerse our tools in EPA certified hospital-grade disinfectant for 10 minutes then completely dried and sealed. For our pedicure bowls, we scrub them down with antibacterial soap and hot water to remove all particles or debris, then we immerse the pedicure bowl in hospital-grade disinfectant for 10 minutes. All other surfaces, tables and chairs are also disinfected after each customer with the same EPA certified hospital-grade disinfectant. We take pride in the fact that each location excels in our strict hygiene protocols.

We encourage our customers to bring old polish bottles from any brand to any Base Coat Nail Salon location for proper disposal. For every bottle you swap out receive 10% off for one of our Base Coat 8-Free nail polish colors.
Less-toxic polish takes slightly longer to dry, so please plan for a few extra minutes after your service. Note that while polish may seem dry to the touch after service, it takes a full 12-24 hours for it to fully harden and cure. Please be careful, and keep your feet free from shoes so as to avoid smudging. Unfortunately, once you’ve left Base Coat, we cannot protect you from nicks, smears or chips. We understand that accidents happen and while we are more than happy to fix them, we will charge $20 for a polish change.
To honor our quiet spa-like atmosphere, as well as the relaxation of other guests, we ask to please use quiet voices in the salon. Please refrain from the use of cell phones, and turn the ringer to silent or vibrate prior to entering the salon. We aren’t taking your toys away, we just want you to sit back, relax and enjoy your experience to the fullest while allowing others to do the same.
REFUSAL OF SERVICE: We have the right to refuse service to anyone at anytime. This includes but limited to the usage of drugs, alcohol, sexual comments/remarks or any behavior that we feel is inappropriate. As licensed professionals, we follow strict code of ethics. It is very important that a safe environment is maintained for ourselves and each of of our clients.
CHILD POLICY: Children are ONLY permitted in the salon when the child is receiving a service. For safety reasons and insurance purposes, no child under the age of 10 may accompany you while you are having a service. We do not have the facilities to care for children. We feel as a business, children who visit the salon during their parents' appointments or children who are unattended in the waiting area pose a safety issue. We love children, and we hope you understand that we cannot assure their safety in a professional environment. We also do not want to compromise the relaxation of our guests. Your understanding is greatly appreciated. During their appointment, children need to be able to sit still so that the nail artist can perform a quality service.
Cuticles protect your nails and well-being. At Base Coat, we only lightly trim hangnails and loose dead skin that is visible after gently pushing the cuticles back. Trimming or cutting live cuticles during a manicure is purely cosmetic and doesn’t benefit the nail in any way which not only makes your cuticles grow back faster, but also encourages them to fray more easily. In fact, it’s actually more harmful to your nails. The small area of skin is there to protect your nails from infection. When this skin is removed, your nail is left unprotected and becomes vulnerable to bacteria and fungus.
By State Law we must refuse service to anyone who seems to have any kind of communicable foot, hand or skin disease. A licensee shall not perform services on a client if the licensee has reason to believe the client has an unhealthy condition; a communicable disease; contagious condition; skin or nail tissue that is inflamed, infected, broken, raised or swollen; or an open wound, ingrown toenail or sore in the area affected unless the client provides written authorization from a licensed physician.
We LOVE animals but unfortunately no animals are allowed in any of our locations out of respect for clients and staff with allergies. Service dogs with official “Service Animal” vests are the only exception to this rule.
We use glass files for all of our nail services. Glass files, also known as crystal files, regardless of how they are used, seal the keratin layers together at the edge of the nail, preventing peeling and chipping. Traditional files should be used by filing in one direction only, but they rarely are, and filing in both directions causes the layers of keratin to shred, leaving the edge thinner and more prone to peeling and chipping. Another bonus is that glass files can be sanitized and sterilized. And they’re great for professional use—given the number of services we do, there is also less waste created.
We get a lot of questions and unfortunately a few negative reviews on why we have a higher price point than most nail salons.
It's a fair question to ask and we're happy to answer! First of all, we're not like most nail salons. Not only do we set out to create a toxic free environment where we use very high-quality safe ingredients in our products for our services so anyone and everyone can enjoy the experience of getting beautiful and healthy nails. You will never walk-into any Base Coat location and be over-whelmed by heavy fumes and/or harmful toxins touching your skin but most importantly to us we work very hard to provide the same experience and safe environment for our employees, the amazing women and men who are the back bone to our company. We couldn't survive as a business with out them. We believe strongly in team culture and every technician is treated as an equal member of Base Coat. If you keep up with the New York Times the chances you've read about the deplorable conditions that many who work in the nail industry face on a daily basis, from slave-like work conditions, no lunches or breaks, getting paid very little or not at all, to higher rates of miscarriage and cancer due to exposure to highly toxic products. Major reforms in the nail industry has been long overdue, which is why we are extremely proud of our ethos and 100% stand behind it. As a fast growing company we also believe in promoting, empowering and rewarding, creativity, passion, hard work by also provide opportunities for career advancement and skill development to our employees.
