In an effort to make sure our staff receives a full day's wage, we have a strict 12-hour cancellation policy. No shows and short notice cancellations will occur a full charge to guarantee nail artists get paid for their time. For a cleaner and safer beauty experience we do not offer or remove any form of acrylic, dip acrylic powder, extensions or hard gels. This policy helps us maintain a non-toxic environment for our clients and nail artists. If you’re unsure about what type of polish you are wearing, please inquire with the salon that provided your last service. Any clients entering our salons wearing acrylics or hard gels will be refused service with no refund.
Please carefully read over your appointment confirmation email. It is the guests responsibility for their own appointment reminders and adhering to all our Base Coat Policies once an appointment is scheduled and confirmed.
If you see an error with your appointment information or did not receive an email confirmation regarding your service, location, date or time please email us immediately for confirmation at customerservice@basecoatnailsalon.com to make any changes 12+ hours before your service appointment time. After 12+ hours we will not be able to make any changes or cancel your appointment and you will be charged in full for the original service scheduled.
As always, reminders are a courtesy. We will make every effort to remind you of your scheduled appointment, occasionally circumstances will arise which prevent us from doing so. You are responsible for making your scheduled appointment regardless if you received a reminder call/email or not.

GIFT CARD TERMS + CONDITIONS
Base Coat gift cards do not expire, and there are no fees associated with them. Treat a Base Coat gift card as cash; if it is lost or stolen, it will not be replaced. Flagship and Shop-in-Shop cards are not interchangeable and cannot be used for online purchases. Base Coat Flagship cards can only be used in person at Base Coat Flagship locations for services and products. Nordstrom Shop-in-Shop cards can only be used in person at Base Coat x Nordstrom Shop-in-Shop locations for services and products. Our gift cards are not redeemable for cash. Our gift cards cannot be used to secure appointments and may not be exchanged for cash or other vouchers or used for gratuity. Base Coat gift cards are not valid at any Nordstrom locations or online. For gift card balance, terms and expiration date, present this card at Base Coat Nail Salon Flagship locations only. This card is the property of the issuer.
DISCLAIMER
While Base Coat nail polish is free of the most toxic ingredients found in other nail polish, we do not want to mislead our clients into believing that our nail polishes are chemical-free. The reality is, in order for polish to stick to nails and adequately dry, it needs to have certain chemical ingredients. Until we discover a miracle product that is 100% chemical-free, we will continue to provide the cleanest, safest products possible without compromising beauty or function.

CREDIT CARD DEPOSIT
We require a credit card to secure all appointments and your card will be pre-authorized with no exceptions. This same credit card must be used at check out for no contact payment. Base Coat gift cards can not be used to secure appointments. All cards on file are added to the system via a secure electronic process that ensures all information is encrypted. In the event that we do not receive the required notice for adjustments, no shows, or cancellations your card will be charged 100% of the full-service fee of your scheduled appointment.
ONLINE BOOKING
We recommend that you book your appointments in advance so that we may accommodate your scheduling requests. Walk-ins are always welcome but not guaranteed. Please arrive 10 minutes prior to your scheduled service, especially if you are a new client. Note your nail artist originally booked online or over the phone is not always guaranteed and can change without any notice. If you would like to request a specific nail artist, you must give us a call and we will do our best to accommodate your request, again please note this is not guaranteed.
GROUP BOOKINGS
For groups of 3-6 people, we require a 50% deposit at the time of booking, and a 25% gratuity will be added to the service total upon completion of all services. Guests may choose to add an additional gratuity at the time of check-out if desired. If there are cancellations or downgrades in any services less than 12 hours in advance, or a no-show, you or the group coordinator will still be responsible for the full-service fee and 25% gratuity of your originally scheduled appointments. We require a minimum of 12 hours notice in order to change or cancel the booking. Deposits are calculated according to each service. If a group member arrives more than 10 minutes after the scheduled start time, we cannot guarantee their scheduled services. The group coordinator is still required to pay the full cost of these services including 25% gratuity even if we are unable to provide the services. Groups of more than eight people must rent the space hourly to accommodate the group.
REBOOKING
We recommend that you book your next appointment prior to leaving the salon, so that we can be sure to accommodate your schedule and maintain your healthy nails.

12 HOUR STRICT CANCELLATION + DOWNGRADE POLICY
Rain, snow or shine Base Coat Nail Salon adheres to a strict 12-hour cancellation and downgrade policy for all nail service appointments. This policy allows us to accommodate the high demand for appointments and guarantees a full days wage for our licensed nail artists and professional staff. This policy applies across the board whether booked in person, on the phone, via email or online through our website. If for any reason you miss an appointment, are more than 10 minutes late, or downgrade your service, you will still be responsible for the full-service fee of your originally scheduled appointment. No refunds will be given to cancelled or rescheduled bookings with less than 12 hours notice. Same-day cancellations, service downgrades, and no-shows will be charged the full-service fee of your original scheduled appointment. Please note this policy also applies to large parties and group bookings.
50% SAME-DAY RESCHEDULING FEE
For same-day rescheduling, we charge 50% of the original service booked regardless if you are rescheduling with the same nail artist or not. In addition, you will still be responsible for the full-service fee of your rescheduled appointment.
SAME-DAY APPOINTMENTS ARE FINAL.
SICK POLICY
In an effort to maintain a healthy environment, we ask that if you are sick (which includes a cold, a fever, the flu, etc.) or have the onset of symptoms of an illness that you reschedule your appointment. If you arrive for your appointment with visible symptoms of an illness, you will be asked to reschedule your appointment and charged 50% of your original service to reschedule. This is for your well-being as well as the health of our employees and other clients. Receiving a service when you are sick is not advised. While in the early and acute stages of a cold, the flu or other illness, a manicure or pedicure service can accelerate the onset of the infection and intensify its severity (via additional circulation of blood & lymph). Please wait until you have been well for at least a week before getting your service. If you do need to cancel your appointment, please call us 12 hours before your scheduled appointment, so you are not charged the full amount and we will be happy to reschedule your appointment for a time when you are feeling better.
ARRIVAL + LATE ARRIVALS
In order to receive the best experience, we encourage all clients to arrive 10 minutes early to ensure there is plenty of time to check in and choose the perfect polish from our vast range of non-toxic colors. As a courtesy to all clients scheduled throughout the day, on-time arrival is expected. If you arrive more than 10 minutes late, we will shorten the length of your service time or reschedule your appointment in consideration of the next client. If we have to adjust or shorten your appointment due to a late arrival, you will still be responsible for the full-service fee of your originally scheduled appointment.
NO-SHOWS
As part of our mission to provide each of our licensed nail artists with a living wage and guarantee all of our staff a full day's wage, we adhere to a strict no-show policy. If you forget or miss your appointment for any reason, you will be charged for the full price of the service that was booked.

Our Services
LIGHT CUTICLE CARE
Cuticles protect your health and the well-being of your nails. At Base Coat, we only lightly trim hangnails and loose dead skin that is visible after gently pushing the cuticles back. Trimming or cutting live cuticles during a manicure is purely cosmetic and doesn’t benefit the nail in any way, which not only makes your cuticles grow back faster, but also encourages them to fray more easily. In fact, it’s actually more harmful to your nails. The small area of skin is there to protect your nails from infection. When this skin is removed, your nail is left unprotected and becomes vulnerable to bacteria and fungus.
BRINGING YOUR OWN NAIL POLISH
We’re committed to creating a safe and clean salon environment. We politely ask you to not bring in your own nail polish or manicure implements.
NAIL CARE AFTER SERVICES
Base Coat Nail Salon stands by and guarantees quality work to ensure you enjoy your experience. While we cannot issue a refund, or your time if a problem does occur, we invite you to book a complimentary touch-up on the affected nails only to remedy your concerns until you are completely satisfied. In the event your nails chip within three days after your service (four days for gel polish), please email us with a photo, and date and time of your appointment to customerservice@basecoatnailsalon.com to resolve the issue only with the original nail technician within 5 business days after your email is received. Outside the 5 day period, there will be a full charge of our normal fee. Please refer to our price list. For cancellations less than 12 hours notice or no-show, we will not honor the complimentary touch-up or service.
GENTLE SOFT GEL REMOVAL
Please note, we only remove soft gel polishes. For a cleaner and safer beauty experience, we do not offer or remove acrylic, dip acrylic powder or hard gels. Minimal acetone is used in our soft gel removal process. Gentle soft gel removal is not included in any of our services. Your service will be shortened to accommodate the gel removal. $20+ and up to remove any non Base Coat soft gel polish.
EXTRA DRYING TIME
Less-toxic polish takes slightly longer to dry, so please plan for a few extra minutes after your service. Note that while polish may seem dry to the touch after service, it takes a full 12-24 hours for it to fully harden and cure. Please be careful, and keep your feet free from shoes to avoid smudging. Unfortunately, once you’ve left Base Coat, we cannot protect you from nicks, smears or chips. We understand that accidents happen and while we are more than happy to fix them, we will charge $20 for a polish change.
BEFORE YOUR PEDICURE
Pedicure clients are advised to not shave their legs for at least 24 hours prior to service. Wear pants that do not taper from the knee to the ankle, and please bring your own flip flops to wear out of the salon. In our efforts to reduce our carbon footprint as a small business, we no longer carry disposable slippers at any of our locations.

Quality matters. Crafted from hardened glass alloy, our crystal glass nail file is renowned for its durability. Our double tempering process multiplies the effect, making them even stronger to ensure our files do not degrade in quality over the years, standing up to frequent use.
At BASE COAT we use our SMOOTH crystal glass nail files for both manicures and pedicures services since the day we opened in 2013. We love the many benefits of using our glass nail files at our salons, not only are they ideal for gentle and precise nail shaping, but they are the friendliest option for the environment. Because crystal glass nail files are sanitizable and maintain their grit through several uses, they are a zero waste implement, unlike emery boards that must be thrown away after each service.
Our SMOOTH crystal glass files are the best option for shaping the natural nail because they have a very fine grit that allows our nail artist's to achieve the perfect shape. The grit level on the crystal glass is not ideal for taking off a great amount of length, and is best suited for smoothing and shaping after using nail clippers. Many people remark on how the less abrasive nature of crystal glass files feel better during their services, as it causes less vibration created by friction on the nail. This is especially important to use on clients that may have consistently weak or brittle nails. Because we work on the natural nail, and use our easy to remove line of non-toxic polishes, we don't require a large variety of nail file types or grits, crystal glass files efficiently get the job done in all our manicures and pedicures. Crystal glass files refine the nail and can be used in any direction without separation or causing damage to the free edge of the nail. Oftentimes an emery board type file, especially those with a coarser grit, can actually be too rough upon the layers of hard keratin protein that comprises the nail plate resulting in an uneven free edge. Emery boards are to be used in one direction only while shaping the nail. If used in a sawing motion, emery boards will damage the nail which can lead to problems such as separating, peeling, and a shorter lifespan of a fresh manicure.
Owning our SMOOTH crystal glass nail file is a great way to maintain a clean edge on your nails between manicures, and best of all they last a very long time! Our crystal glass file can also come in handy for smoothing out infant and young children's nails so they are less apt to scratch themselves, less risky than using clippers on wiggly little fingers.

Salon Etiquette
To honor our spa-like atmosphere and respect other guests, we request the use of quiet voices in the salon. Please refrain from the use of cell phones, and turn your ringer to silent or vibrate prior to entering the salon.
ANIMAL POLICY
We love animals, but unfortunately no animals are allowed in any of our Base Coat Flagship locations. Service dogs with official “Service Animal” vests are the only exception to this rule.
ESAs (Emotional Support Animals) do not have public access rights in the U.S. No matter how disabled their handler is, only dogs that are task trained to mitigate a disability, are non-aggressive, and are trained to behave in public can be a service dog. Comfort, petting and “emotional support” are not considered tasks by the ADA (The Americans With Disabilities Act).
VALUABLES
We suggest that you leave your valuables (i.e. jewelry) at home. Base Coat cannot be responsible for damaged personal valuables during services and will not be liable for lost or stolen personal items or valuables. Also, please check to make sure that no belongings are left behind.
CHILD POLICY
Children are only permitted in the salon when the child is receiving a service. For safety reasons and insurance purposes, no children under the age of 10 may accompany you while you are having a service. We do not have the facilities to care for children. We feel as a business, children who visit the salon during their parents' appointments or children who are unattended in the waiting area pose a safety issue. We love children, and we hope you understand that we cannot assure their safety in a professional environment. We also do not want to compromise the relaxation of our guests. Your understanding is greatly appreciated. During their appointment, children need to be able to sit still so that the nail artist can perform a quality service.

Do you do refills?
As a small company, we are always finding new ways to take big steps in reducing the amount of trash we produce and waste. Bring back your Base Coat spa product containers at any of our locations and receive 10% off any refill.
Do you dispose of old polishes?
Out with the old, in with the new! We encourage our customers to bring old polish bottles from any brand to any Base Coat Nail Salon location for proper disposal. For every bottle you swap out receive 10% off for one of our Base Coat 8-Free nail polish colors.

MEDICAL CONDITIONS
When making an appointment or before your service, please let us know if you are pregnant, have any health conditions, special needs, ingrown toenails, allergies or injuries etc. This will help us customize your service to ensure the highest satisfaction and benefits.
HEALTH + SAFETY
By state law we must refuse service to anyone who appears to have any kind of communicable foot, hand or skin disease. A licensee shall not perform services on a client who appears to have an unhealthy condition, communicable disease, contagious conditions, an open wound, ingrown toenails, sore skin, or nail tissue that is inflamed, infected, broken, raised, or swollen.
ALLERGIES + REACTIONS
Natural ingredients are powerful and unique, just like you! Please be sure to always know what ingredients you may be allergic to before using our products. Always do a small patch skin test to see if you may have any reactions to our ingredients. Never use products in the eye area, internally, or on open wounds or irritated skin and discontinue use if irritation arises. Please be advised that some of our products may contain nuts or traces of nuts.
ETCETERA
We do not offer hard gels, acrylic or remove dip acrylic powder to maintain a non-toxic environment. Please remember to add gentle soft gel removal to your service if you have soft gel polish on. Your service will be shortened to accommodate the soft gel removal and you will be charged in full for the original appointment scheduled and the soft gel removal. $20+ and up to remove any non Base Coat soft gel polish.
